We are looking for an organized and proactive Project Manager to join the inVision/Impact division. You will administer inVision’s project portfolio at a high level, owning the division’s operational and goal-setting rhythm, launching new projects, and running internal operational initiatives. You’ll ensure the infrastructure, processes, and ground rules that let all inVision projects run smoothly.
1. Project Planning & Coordination
- Support portfolio-level practices: project maturity assessment and portfolio management across the division.
- Set up the project administration and operational structure for new portfolio initiatives.
- Set up project structures and boards (Jira and other trackers); ensure data integrity and that teams follow through on task updates and deadlines.
2. Internal Operational Projects
- Conduct needs assessments and stakeholder analysis to define project goals, objectives, and deliverables.
- Lead internal operational initiatives end-to-end: rolling out new software or processes (e.g., Jira, a knowledge base), or other internal change.
- Analyze existing processes, identify bottlenecks, and implement improvements to increase efficiency.
3. Operational Rhythm & Support
- Own the rhythm of recurring meetings across the division: agendas, materials, minutes (MoM), and strict follow-up on action items.
- Own the goal-setting rhythm (quarterly/monthly cadence) — tracking and cascading goals from strategy down to teams.
- Prepare recurring leadership materials: management-body, Townhall, CEO Quarterly, and C-level presentations from pre-agreed agendas.
- Provide organizational support for key events: Summits, Division Rhythms, Strategic Sessions, Townhalls, and Management Body meetings.
4. Optimization & Automation
- Actively implement AI tools (LLMs, agents, automation) into daily routines to boost personal and team productivity.
- Automate routine reporting and analytical material preparation.
- Experience: 2–3 years in project management/project administration/operations support, including cross-functional projects and portfolio management. Experience in a non-profit/impact organization is a plus.
- Toolbox: Proficiency with task-tracking and project-management platforms (Jira and others).
- AI & automation curiosity: Hands-on with LLMs and automation tools; you know how to craft prompts and save time through technology.
- Analytics & content: Strong ability to structure complex information into clear presentations and reports.
- Education: Bachelor’s or Master’s in Administration, Public Policy, Social Science, or a related field is preferred.
- Language: English at B2 (Upper-Intermediate) or higher.
