We are seeking a proactive and detail-oriented
Licensing Project & Operations Coordinator to support the operational delivery of Alternativa’s distribution activities — including acquisitions, sales, and catalogue management.
This role acts as the operational hub between the Head of Film Distribution, Licensing Manager, Programming Manager, legal, finance, marketing, and external partners, keeping deals, deliveries, and payments on track from start to finish. The ideal candidate is highly organized, comfortable managing multiple moving parts at once, and confident coordinating across teams to keep projects moving smoothly.
- Coordinating day-to-day operations across acquisitions, sales, and catalogue management, tracking timelines and deliverables across teams;
- Managing contract execution and monitoring payment schedules, deadlines, and reporting obligations;
- Overseeing technical delivery (masters, subtitles, QC reports, marketing assets), flagging risks or delays early;
- Supporting marketing and sales materials — decks, press kits, key art, and promotional assets;
- Managing buyer and partner communications, contact databases, and CRM records;
- Overseeing secure screener distribution and maintaining catalogue and rights records;
- Producing regular reports on deal status, deliveries, payments, and buyer activity;
- Coordinating subtitling/dubbing with external vendors for timely localization.
Experience- Experience in media, entertainment, or content licensing/distribution;
- Knowledge of Film Distribution lifecycle;
- Knowledge of project management tools;
- Knowledge of rights management tools;
- Experience with end-to-end project coordination;
- Familiarity with Traffic, Shipping and Localization workflows would be an advantage.
Technical Expertise- Contract administration and rights/licensing documentation;
- Fluent in English (business level);
- Deal and payment milestone tracking;
- CRM and contact database management;
- Technical delivery coordination (masters, subtitles, QC, metadata);
- Revenue and reporting tools (invoicing, royalty/revenue-share statements);
- Proficiency with project/task tracking systems and spreadsheets.
