Responsibilities
Event Planning & Execution
Develop event timelines, checklists, and production schedules.
Assist in planning, logistics, and execution of in-person, virtual, and hybrid events.
Coordinate catering services, including menu planning, dietary accommodations, and delivery logistics.
Work with venue and third-party security teams to ensure safety protocols are in place and followed.
Cross-Functional Collaboration
Partner with internal teams (e.g., Marketing, Sales, Product) to align event goals with business objectives.
Coordinate with external stakeholders including speakers, sponsors, and partners.
Budget & Reporting
Support budget tracking, invoice processing, and cost reconciliation.
Collect post-event feedback and analyze ROI metrics to improve future events.
On-Site Management
Serve as the on-site event host, welcoming guests, introducing speakers, and making clear announcements for session start and end times, breaks, and transitions.
Serve as a point-of-contact during event setup, execution, and teardown.
Troubleshoot problems on the fly to ensure a seamless experience for all participants.
Assist in coordination for an office renovation project
Qualifications & Skills
3+ years of experience coordinating corporate or consumer events.
Proven ability to manage multiple events and meet tight deadlines.
Strong organizational skills and keen attention to detail.
Excellent verbal and written communication skills.
Proficiency with event management platforms (e.g., Cvent, Splash, Hopin) and productivity tools (e.g., Google Workspace, Microsoft Office).
Flexibility to work evenings or weekends when events require.
