About the role

As Salmon's Mail Management Officer, you'll own the operational backbone of Card Production and Delivery — from ordering and monitoring blank plastic stock to managing courier performance and resolving customer complaints. You'll work closely with the Mail Management Head and other stakeholders across Banking Operations to keep this function running accurately, on time, and audit-ready, while helping strengthen and document the processes behind it.

What you'll do

Run card production and delivery operations

• Order, pay for, and monitor blank plastic stock, and maintain inventory of blank plastics and personalized cards
• Tag initial card releases and redeliveries in the system, and monitor card delivery end to end
• Oversee destruction of spoiled blank plastics and aged cards

Manage vendor and courier performance

• Review delivery reports and escalate any non-compliance with the service provider's SLA
• Manage courier performance and conduct regular assessments
• Handle and resolve customer complaints related to card delivery

Keep controls and compliance tight

• Ensure maker-checker controls are in place with proper segregation of duties, acting as checker or maker depending on the task
• Ensure approvals are within delegated authority and tasks are completed within agreed turnaround times
• Comply with BSP, AMLC, PDIC, and other applicable regulatory requirements, and adhere strictly to company policy and code of conduct

Drive process improvement and audit-readiness

• Review and update documented processes in a timely manner, and identify opportunities for improvement while keeping controls in place
• Initiate projects that benefit the team and the company, and participate in UAT/UVT for systems that affect the team
• Identify and escalate issues promptly, proposing resolutions to your immediate supervisor
• Organize team files (soft and hard copy) in line with the record retention policy, and ensure audit-readiness in task execution

Support the wider team

• Collaborate and attend meetings with stakeholders, flagging areas of impact to the team
• Act as reliever for teammates on leave per the team's relief arrangement, without compromising segregation of duties
• Take part in cross-functional assignments within Banking Operations, and other tasks as assigned

What makes you a strong fit

• Bachelor's degree in Banking & Finance or a related business course
• 5+ years of experience in a banking institution
• Strong knowledge of and hands-on experience with Card Production and Delivery
• Solid grasp of maker-checker controls and segregation of duties
• Working familiarity with BSP, AMLC, PDIC, and other relevant banking regulations
• Strong attention to detail and organizational skills, with a track record of audit-ready documentation
