Description
We are looking for a Business Operations Lead who will own and evolve the Muse’s operating system end-to-end — combining operational excellence, cross-functional execution, and AI-driven transformation into a single, scalable framework.
This role sits at the intersection of strategy, operations, and technology. You will act as a product owner of the company’s internal operating model — designing, implementing, and continuously improving processes, rituals, and systems that drive execution, alignment, and business impact. At the same time, you will lead the integration of AI into these processes to unlock efficiency, transparency, and smarter decision-making.
You will work closely with the Executive Team to ensure that company strategy is translated into structured execution, supported by clear ownership, real-time data, and AI-powered insights.

Key responsibilities
Own and scale the Company Operating System
- Design and implement company-wide operational processes, rituals, and execution frameworks (daily, weekly, monthly rhythms)
- Establish and evolve a unified system of planning, execution, and tracking across teams
- Build and maintain shared dashboards and tools to ensure transparency and alignment
- Create a structured, results-driven operational onboarding program for new leaders
- Develop internal project management and knowledge-sharing systems as a single source of truth
- Ensure consistent adoption of processes by partnering with Executive and People Operations teams
- Continuously improve operational efficiency through data and feedback loops
Act as Product Owner of Cross-Functional Execution
- Own the end-to-end lifecycle of cross-functional initiatives as a product: from problem definition to delivery and impact
- Introduce and enforce a structured ownership model (Business Owner + Execution Lead)
- Ensure clear prioritization, requirements, and accountability across all initiatives
- Facilitate executive-level planning, goal-setting, and review sessions
- Build and run OKR processes, ensuring goals are measurable, actionable, and embedded in daily execution
- Align teams around shared goals, principles, and expected behaviors
- Ensure that strategic goals are translated into real execution, not just formal artifacts
Lead Strategic Projects
- Identify, propose, and lead high-impact cross-functional projects
- Ensure projects deliver measurable business value and are executed within agreed timelines and expectations
- Drive stakeholder alignment and manage expectations throughout execution
Build and Integrate AI into Operations
- Develop and implement a comprehensive AI Operating System aligned with company objectives
- Integrate AI into core operational workflows to enhance productivity, decision-making, and scalability
- Unify data across internal systems (e.g., Jira, Confluence, Slack, Zoom, product analytics) into a single AI-powered layer
- Build real-time, AI-driven OKR tracking systems with automatic updates from execution data
- Identify and implement AI-driven opportunities to improve efficiency and performance
- Collaborate with stakeholders to prioritize AI initiatives with the highest business impact
- Ensure ethical, secure, and compliant use of AI technologies
- Manage relationships with external AI vendors and partners
- Stay up to date with AI trends and continuously evolve the company’s capabilities
Requirements
- 5–8 years of experience in Operations, Strategy, Product Management, Organizational Development, AI/Transformation, or related fields
- Strong product mindset with proven ownership of complex systems or initiatives end-to-end
- Hands-on experience designing and scaling operational processes and OKR frameworks
- Experience leading cross-functional initiatives in complex organizations
- Proven track record of driving organizational change and improving execution quality
- Experience in AI strategy, implementation, or data-driven systems is a strong advantage
- Solid understanding of AI/ML, data analytics, and their business applications
- Strong facilitation and stakeholder management skills, especially at the executive level
- High standards for communication, documentation, and systems thinking
- Ability to translate complex concepts (including AI) into clear, actionable insights
- Strong analytical and data-driven decision-making skills
- Familiarity with data protection and ethical AI practices
