We're looking for an Administration Team Leader to join our onsite team in Belfast, United Kingdom.
In this role, you will lead administrative and facilities operations, ensuring the smooth running of our Belfast office and, remotely, our other offices across the UK and Ireland. You will manage all aspects of office services, property and vendor management, health and safety compliance and continuous improvement initiatives. You will supervise both local staff and a remote administrative team, supporting senior stakeholders and ensuring our offices operate effectively, safely and sustainably.
Responsibilities
- Oversee and coordinate all administrative operations within the Belfast office to maintain efficiency and compliance
- Supervise and support a remote team of administrative professionals ensuring productivity and alignment with organisational objectives
- Develop and implement office policies and procedures to optimise workflows and enhance service delivery
- Manage vendor relationships, office procurement and contract administration to ensure timely and cost-effective supply of resources
- Prepare, review and maintain internal reports and documentation according to corporate standards
- Organise and coordinate meetings, internal events and executive schedules to support local leadership
- Act as a liaison between different departments and provide solutions for administrative and operational challenges
- Monitor adherence to internal compliance policies and support audit readiness for administrative processes
- Handle confidential information with integrity and strict discretion in line with corporate standards
- Identify and implement continuous improvement initiatives to enhance administrative efficiency and team performance
Requirements
- At least 7+ years of experience in administrative or operational roles with 3+ years in a leadership capacity
- Demonstrated ability to lead and supervise remote teams effectively
- Strong knowledge of office management processes, procurement and contract administration
- Excellent organisational skills with the ability to manage multiple priorities in a fast-paced environment
- High level of proficiency in MS Office tools and familiarity with enterprise systems such as SAP
- Strong problem-solving skills and ability to implement process improvements
- Exceptional communication, interpersonal and stakeholder management skills
- Proven experience in handling sensitive information with discretion and professionalism
- Ability to work fully onsite and manage collaboration across distributed teams
